Trade Show & Seminar Coordinator
Full-time, Seasonal Travel & Agricultural Marketing

Summary:
This position is responsible for facilitating and managing details related to company trade shows and events. The ideal candidate will be an experienced, detail oriented, organized professional with the ability to coordinate and manage detailed logistics and complex deliverables/timelines of numerous seminars and trade shows. We are looking for a team player with a passion for or experience with trade show/seminar planning and project management.
Responsibilities:
- Renew/Manage all contracts and paperwork associated with trade shows
- Work with outside vendors to arrange trade show related services
- Facilitate lodging and other travel arrangements for the trade show team and those attending conferences or speaking engagements.
- Staff all trade shows and other events held by Calmer Corn Heads
- Work with trade show team to develop booth layout and design
- Order supplies, graphics, signage, and appropriate décor to meet quality and brand expectations
- Propose new ideas to improve the event planning and implementation process
- Load and organize trade show trailers
- Maintain trade show database
- Assist in creating and maintaining show folders and an overall annual show calendar
- Act as main point-of-contact for trade shows and seminars
- Keep track of event finances including expenses, sales and estimates
- Keep accurate records to provide reports for future analytics
- Regularly report back to the sales team
- Travel to trade shows is encouraged but not required
- Organize events held by Calmer Corn Heads
Requirements:
- Bachelor’s Degree preferred or 2-3 years of marketing, administrative or project management experience
- Excellent communication, organization, customer service and project management skills
- Ability to multi-task and manage multiple assignments at a time
- Excellent interpersonal skills, both in person and by phone
- Ability to accomplish tasks with little supervision and meet strict deadlines
- Proficient in the latest version of Microsoft Office
- Experience with marketing/web communications, publishing, graphic design, and/or social media is beneficial
- Willing to work occasional evenings and weekends
