The UW Information School (iSchool) is looking for a Faculty Human Resources Assistant Sr. to provide specialized administrative support for faculty-related human resources activities. This position has responsibilities in the areas of faculty recruiting, hiring, and general lifecycle support. Work of the FHRAS supports approximately 100 faculty positions and corresponding academic appointments.

WHAT YOU’LL BE DOING
Recruiting
Coordinate recruitment processes for competitively-hired faculty.
• Process application materials using Interfolio; maintain electronic records for applications; produce communications to applicants on behalf of faculty search chairs and hiring managers.
• Coordinate advertising for open faculty positions.
• Respond to general email inquiries regarding open positions and correspond with applicants as needed.
• Track candidate’s application status.
• Coordinate faculty candidate schedules for campus interviews across multiple searches running concurrently.
• Complete administrative functions for multi-day faculty candidate visits to include: travel arrangements, catering, research talk flyers, creating and managing candidate itineraries, and other tasks as assigned.
• Maintain recruitment documentation and ensure records retention requirements are met.
• Coordinate recruitment process for all non iSchool Research Assistants.
• Work with the Director, and hiring managers, to draft position announcements.
• Ensure open positions are posted to the iSchool website, iApply, listservs, Handshake, and other various UW websites as needed.
• Ensure new applications are reviewed daily; maintain electronic and hardcopy files of applications per state records retention requirements; and track student applications status. Ensure applicants are notified of status per bargaining unit contract and state and federal law.
• Ensure applications are sent to the hiring manager(s) in a timely way.
Faculty Personnel Actions
Coordinate personnel processes and timelines for all regular, adjunct, affiliate and visiting faculty appointments, including coordination with iSchool Faculty Affairs and Dean’s Office.
• Ensure all collaborators have the information needed, follow appropriate timelines and policy/procedure, and gather the necessary documentation for proper and timely processing of the following faculty personnel actions:
- Appointment
- Reappointment
- Tenure
- Promotion
- Regular Conference with the Faculty
• Identify documentation requirements based on University policy. Follow up with internal and external persons regarding additional documentation needs.
• Support the Director in visa requests and processing for foreign national workers.
• Support faculty voting process and vote documentation for faculty personnel actions.
Human Capital Management, Time, and Payroll Support
Provide human resources related administrative support for faculty and student employees in the areas of hire, compensation, appointment and reappointment, and payroll, including Workday entries for HCM, Compensation and Payroll transactions, while adhering to federal, state, university and college level policies and procedures.
• Work with hiring managers, iSchool staff (research services, academic services, HR, others as needed), Integrated Service Center, Student Fiscal Services, Continuum College, other university departments, and student employees, to ensure student employees are hired, reappointed and terminated per all applicable policies and procedures.
• Track deadlines to ensure compliance with bargaining unit contract and all applicable university policies, and city, state, and federal laws. Track overall hiring and reappointment processes for student employees.
• Generate offer letters and notifications to supervisors and applicants.
• Hire, reappoint, and terminate employees as needed in Workday
• Oversee onboarding processes for student employees.
• Participate in other human resources and payroll processes for student employees as needed.
REQUIREMENTS:
• Four years of office experience including two years of increasingly responsible experience in a human resource or related setting or equivalent education/experience.
• Must be fluent in MS Office: Word, Excel, Outlook (or other equivalent email product).
• Must have excellent communication skills, both written and oral.
• Demonstrated success in working with diverse populations.
• Demonstrated ability to organize and prioritize multiple-tasks.
• Must be detail oriented and work effectively under the pressure of deadlines.
• Demonstrated ability to work independently and as part of a team.
DESIRED:
• Bachelor’s degree.
• Experience with Human Resources Information System (HRIS) such as Workday, PeopleSoft or equivalent.
• Minimum one year of experience in institution of higher education.
• Prior experience using databases and SharePoint.
• Knowledge of Federal and Washington State employment law.
• Knowledge of University of Washington human resources policies.
• Knowledge of Information School human resources policies
Equivalent education/experience can substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Typically, a 40-hour, 5-days per week position in a standard office environment. This position is overtime eligible. To effectively complete timeline-driven projects and deadlines, flexibility in schedule and additional hours beyond standard office hours may be required.
