Harborview Medical Center has an outstanding opportunity for a full-time, day shift, HUMAN RESOURCES COORDINATOR. Under the general direction of the Directors of Environmental Services & Linen, Parking & Commuter Services, and Nutrition & Food Services, this position provides technical, clerical, and consultative support to the associated departments with HR processes, especially the recruiting, interviewing/hiring, and onboarding processes. This position provides a high level of customer service and professionalism as department representative, working closely with hiring managers, general staff, UW Human Resources, potential employment candidates, and third-party organizations, across multiple departments within the EVS, Parking, and NFS areas. This position will develop, document, and implement new approaches, processes and standards as needed, to support recruitment and employment, as well as participate in/complete the related daily operations. This position may educate or train others in HR policies, processes, and/or systems. This position may manage sensitive information and/or assist in sensitive situations, in relation to human resources, and so must be able to employ discretion, tact, respect, and escalate appropriately.
RESPONSIBILITIES:
Track and monitor submissions of job postings and requisitions
Follow up with relevant staff as necessary (Manager, Director, Assoc. Administrator, HR recruiter) to move requisition forward in process
Post internal job advertisement flyers, as required, track date of posting to maintain compliance with hiring requirements
Maintain department profile and create and maintain postings, on third party recruitment sites, including submitting and updating listings, coordinating and managing interview requests submitted through site, responding to questions submitted by interested individuals through site, troubleshooting, reporting site issues to vendor, etc.
Follow up with HR recruiters to acquire candidate resumes
Retrieve resumes from Workbench/HR recruiter and distribute to hiring supervisors
Monitor screening/interview process across departments to ensure timely progress in filling open positions
Notify selected candidate of offer, confirm acceptance, confirm candidate has created UWHires profile, gather information for background check and provide to HR as needed, advise candidate on next steps
Notify HR of accepted offers, follow up on background check status as needed
Submit necessary access requests for new employees
Assist with coordination of new employees’ orientation to department processes and policies
Ensure employee completes necessary compliance and onboarding requirements in a timely manner through tracking and follow up with new employee or department supervisor/manager as needed
Explain HR, department-specific, and general organizational policies and procedures to staff; help staff navigate these processes efficiently and effectively when necessary; route and escalate issues as appropriate to help ensure smooth day-to-day staffing operations
Maintain accurate and complete screening/interview records and all related necessary documentation for employee files
Work closely with departments’ assigned HR specialists on all HR-related activities
Work closely with departments’ management on all aspects of the recruitment, screening, hiring, and onboarding processes; report out to department leadership on status of requisitions and candidates currently in the screening and hiring processes; identify and suggest process improvements in HR-related activities to department leadership
Coordinate and represent departments through participation in recruitment events such as job fairs and other outreach activities
POC for employment and outreach relationships with outside organizations, such as Seattle Housing Authority and WorkSource
File employee status-changes
Create and maintain candidate screening and interview materials
Create and maintain tracking tools, including spreadsheets
Access, extract, and interpret HR and/or payroll data from various systems as required; can include Workday, HBI
Perform other duties as required

REQUIREMENTS:
Requires High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience.
